Privacy Policy
Last updated: 23 July 2026 · Compiled in terms of the Protection of Personal Information Act 4 of 2013 (POPIA)
Innovo Networks (Pty) Ltd is committed to protecting your personal information in accordance with POPIA. This policy explains what personal information we collect, why, how we use and protect it, and your rights as a data subject.
1. Who We Are
Innovo Networks (Pty) Ltd, a B-BBEE Level 1 Contributor headquartered at The Forum, G07, North Bank Lane, Milnerton, Cape Town, is the responsible party for personal information collected through this website and in the course of providing services.
Information Officer: Enquiries regarding this policy or your personal information may be directed to the Information Officer at Innovo Networks via 021 811 3333 or through our contact page.
2. What Personal Information We Collect
| Source | Information collected |
|---|---|
| Contact / quote request form | Name, email address, phone number, company/practice name, message content |
| WhatsApp enquiries | Phone number, name (if provided), message content |
| Phone enquiries | Name, phone number, and details of your enquiry |
| Website analytics / cookies | Non-identifying browsing data, subject to your cookie consent choices (see Section 7) |
3. Why We Process Your Information
- To respond to quote requests and enquiries submitted through this website, WhatsApp or by phone
- To provide, maintain and support contracted services
- To communicate about your account, service changes, or support matters
- Where you have opted in, to send marketing communications about our services
- To comply with our legal, tax and regulatory obligations
Processing is based on your consent (for form submissions and marketing opt-in), the necessity of processing to perform a contract with you, or our legitimate business interests, balanced against your rights as a data subject.
4. Where Your Information Is Processed and Stored
Contact form submissions are processed via Google Apps Script and stored in Google Sheets and Gmail, operated by Google. Google's infrastructure may process data outside South Africa. Where personal information is transferred outside South Africa, we take reasonable steps to ensure the recipient is subject to a law, binding corporate rules, or contractual provisions that uphold principles of information protection substantially similar to POPIA's conditions, in line with POPIA Section 72.
Our Video PBX and related cloud infrastructure runs on Huawei Cloud's AF-Johannesburg region, meaning this specific processing occurs within South African borders.
5. How Long We Keep Your Information
We retain personal information only for as long as necessary for the purpose it was collected, or as required by law (for example, tax and financial record-keeping obligations). Contact form enquiries that do not proceed to a client relationship are retained for a reasonable period to allow follow-up, after which they are deleted or anonymised.
6. Your Rights Under POPIA
As a data subject, you have the right to:
- Be notified that your personal information is being collected, and why
- Access the personal information we hold about you
- Request correction or deletion of inaccurate, irrelevant, excessive, out of date, incomplete or unlawfully obtained personal information
- Object, free of charge, to the processing of your personal information for direct marketing purposes, at any time, and to have your details removed from marketing communications. In line with the Information Regulator's April 2025 amended regulations, you may exercise this right through any accessible channel, including email, WhatsApp, post, or in person
- Withdraw consent previously given, where processing was based on consent
- Lodge a complaint with the Information Regulator if you believe your information has been processed unlawfully
To exercise any of these rights, contact us via our contact page, by phone at 021 811 3333, or via WhatsApp at +27 87 291 7557.
7. Cookies and Website Tracking
This website uses a cookie consent banner allowing you to choose which categories of cookies you accept. Strictly necessary cookies (required for the site to function) are always active. Analytics and marketing cookies are only activated once you provide consent, and you can change your preference at any time via the cookie settings link in the site footer.
8. Security Measures
We implement reasonable technical and organisational measures to protect personal information against loss, unauthorised access, and unlawful processing, including encrypted transmission (TLS/HTTPS), access controls on internal systems, and hosting our voice platform on Tier 3+ certified cloud infrastructure.
9. Complaints to the Information Regulator
If you believe Innovo Networks has processed your personal information in breach of POPIA, you may lodge a complaint with the Information Regulator of South Africa:
