How do I reduce VoIP latency and call quality issues?

Poor VoIP call quality, choppy audio, delay, echo, dropped words, almost always traces back to one of a small number of underlying causes, and most are fixable without replacing your phone system.

Bandwidth Contention

The most common cause: your internet connection is being used for something else at the same time as calls, a large file upload, a cloud backup running, video streaming in the background. Even if your connection has enough theoretical bandwidth, without proper traffic prioritisation, a large download can starve voice traffic of the consistent, small amount of bandwidth it needs moment to moment.

The Fix: Quality of Service (QoS)

QoS is a router/network configuration that prioritises voice traffic over other types, ensuring call audio gets consistent bandwidth even when something else on the network is busy. This is one of the highest-impact, lowest-cost fixes available, and it's a configuration change, not new hardware, in most cases.

Jitter and Packet Loss

Voice data travels as a stream of small packets that need to arrive in a steady rhythm. "Jitter" is variation in that timing, and packet loss is data that simply doesn't arrive. Both cause the choppy, robotic-sounding audio typical of a bad VoIP call. These are often symptoms of network congestion (see QoS above) or, less commonly, a genuinely unstable internet connection that needs investigation with your provider.

Wi-Fi Versus Wired Connections

Desk phones and softphones on a wired ethernet connection are inherently more stable than Wi-Fi for voice traffic, Wi-Fi introduces variable latency and is more susceptible to interference. If a specific user consistently has call quality issues, checking whether they're on Wi-Fi is often the fastest diagnosis.

Router and Network Equipment Quality

Consumer-grade routers, particularly older or budget models, often handle simultaneous voice and data traffic poorly compared to business-grade networking equipment designed with QoS and VoIP traffic handling in mind. If call quality issues are widespread rather than isolated to one user, ageing network hardware is worth investigating.

Codec Selection

The audio codec (the compression method used to encode voice) affects both call quality and bandwidth usage. Higher-quality codecs (like G.722, used for HD voice) sound noticeably better but use more bandwidth than compressed codecs like G.729. On a bandwidth-constrained connection, forcing a high-bandwidth codec can paradoxically cause more quality issues than a lower-bandwidth one, matching codec choice to actual available bandwidth matters.

A Simple Diagnostic Approach

If quality issues are isolated to specific users, check their local connection (Wi-Fi versus wired, other devices on their connection). If issues are widespread, the problem is more likely at the network or internet-connection level, check for QoS configuration, run a proper speed and jitter test during a problem period, and review whether bandwidth genuinely matches concurrent call volume.
